School Payroll Estimator
Estimate your school's total monthly payroll cost, including gross salaries, statutory employer contributions (SSNIT/NHIS), and total payroll burden. Understanding your full payroll cost — not just take-home salaries — is essential for accurate school budgeting and cashflow management.
All full-time and part-time teachers. Part-time staff who work half-time count as 0.5.
Gross salary before tax and deductions. If salaries vary widely, use the midpoint.
Administrators, security, cleaners, cooks, drivers, and any other non-teaching employees.
Gross salary for non-teaching staff. Security and cleaning staff typically earn less than administrative staff.
Total Monthly Payroll Cost
$14,400GHS
Total Gross Payroll = (teachingStaff × avgTeacherSalary) + (adminStaff × avgAdminSalary). SSNIT Employer Contribution = Total Gross × 13%. Total Payroll Cost = Total Gross + SSNIT Employer. Annual Payroll = Total Monthly × 12.
Assumptions
- ·SSNIT employer contribution rate used: 13% of gross salary (Ghana standard as of 2024). Update this if your country's rate differs — Nigeria uses 10% pension, Kenya uses 6% NSSF employer contribution.
- ·This calculator computes employer costs only. Employee-side deductions (income tax, employee SSNIT 5.5%) reduce take-home pay but do not change the school's payroll cost.
- ·Bonus payments, end-of-service benefits, and overtime are not included. For schools with term-end bonuses, add 1/3 of annual bonus amount to each month's total.
- ·Part-time staff should be entered as full-time equivalents (FTE). A teacher working 3 days/week = 0.6 FTE.
- ·This is an estimate for budgeting purposes. Your actual payroll may differ due to grade increments, seniority adjustments, or mid-year salary changes.
