School Attendance Policy Template
A school attendance policy establishes the rules, expectations, and procedures governing student presence at school during scheduled instructional days. Regular attendance is one of the strongest predictors of academic achievement, and schools in Africa face unique challenges including long-distance travel, seasonal farming obligations, and healthcare access issues that must be addressed within a clear policy framework. This template gives school administrators a ready-to-adapt policy document that covers expected attendance rates, absence procedures, and consequences for chronic absenteeism. It is designed to be fair, legally compliant, and compassionate while maintaining the high standards required for student success.
Purpose
The purpose of this policy is to promote consistent student attendance, establish clear procedures for recording and managing absences, and define the responsibilities of parents, students, and school staff in ensuring every enrolled student attends school regularly.
Scope
This policy applies to all enrolled students from Pre-Primary through Senior Secondary, all teaching and non-teaching staff responsible for recording attendance, parents and legal guardians of enrolled students, and school administrators responsible for enforcing this policy.
1. 1. Expected Attendance Rate
All students are expected to attend school on every scheduled instructional day. The minimum acceptable attendance rate is 90% of all scheduled school days per term. Students who fall below 80% attendance in any given term will be considered chronically absent and will be subject to the intervention procedures outlined in Section 5 of this policy. School days lost due to public holidays declared by the government, school closures ordered by competent authorities, or school-sanctioned activities (inter-school sports, competitions, excursions) shall not count as absences.
2. 2. Reporting an Absence
When a student is unable to attend school, the parent or legal guardian must notify the school by 8:00 AM on the day of the absence. Notification may be made by calling the school front desk, sending a message via the school's parent portal (RedeemOS Parent Portal), or submitting a written note delivered by a sibling or neighbour. The school reserves the right to contact the parent or guardian to verify the reason for the absence. For absences lasting more than two consecutive days, a written explanation is required upon the student's return. For absences of five or more consecutive days due to illness, a medical certificate from a recognised healthcare provider must be submitted.
3. 3. Authorised and Unauthorised Absences
Authorised absences include: illness or medical appointments supported by appropriate documentation; bereavement (death of an immediate family member — up to three days); religious observances that are not covered by official public holidays; family emergencies approved in writing by the Head of School; and government-ordered closures or events. Unauthorised absences include: staying away from school without prior notification or acceptable reason; family holidays taken outside of official school holiday periods without the prior written consent of the Head of School; and repeated short absences that suggest a pattern of avoidance. Unauthorised absences accumulate towards the chronic absenteeism threshold and may result in consequences as detailed in Section 5.
4. 4. Class Teacher Responsibilities
Class teachers are responsible for taking attendance at the start of every school day and at the beginning of each lesson period. Attendance must be recorded in the school management system (RedeemOS Attendance Module) by 8:30 AM each day. Any discrepancies between the morning roll call and individual lesson attendance must be investigated and reported to the Deputy Head. Teachers must not alter historical attendance records except through the official correction procedure, which requires Head of School approval and leaves an audit trail. Teachers are the first point of contact for identifying patterns of lateness or unexplained absence and should raise concerns with the school counsellor or pastoral team without delay.
5. 5. Intervention for Chronic Absenteeism
The school adopts a graduated response to chronic absenteeism. At the first stage (attendance drops below 90%), the class teacher contacts the parent or guardian to discuss the pattern and offer support. At the second stage (attendance drops below 80%), the Deputy Head or Pastoral Care Coordinator holds a formal meeting with the parent and student, and an attendance improvement plan is created. At the third stage (attendance drops below 70%), the Head of School writes formally to the parent, and the matter is referred to the school counsellor for a welfare assessment. Where there are concerns about child welfare or serious family hardship, the school will work with appropriate community resources to provide support before taking disciplinary action. Repeated failure to comply with the attendance improvement plan may result in the student's enrolment being reviewed.
6. 6. Lateness
School gates open at 7:00 AM. The school day begins at 7:30 AM. Students arriving after 7:45 AM are considered late and must report to the school office to sign in before proceeding to class. Arriving late disrupts instruction and counts as a partial absence. Three recorded incidents of lateness in any term without an acceptable reason will be treated as one unauthorised absence. Persistent lateness will trigger the same intervention process as chronic absenteeism. Parents and guardians are expected to ensure their children depart home sufficiently early to arrive at school on time.
7. 7. Attendance Records and Data Protection
Attendance records are maintained digitally through the school management system and are subject to the school's Data Protection Policy. Records are retained for a minimum of five years from the date of the student's last enrolment at the school. Parents have the right to request a copy of their child's attendance record at any time. Attendance data will only be shared with third parties — including government education authorities — where required by law or where the parent has given written consent. Aggregate, anonymised attendance statistics may be used for internal reporting and school improvement planning.
8. 8. Policy Review
This policy will be reviewed annually by the school's senior management team in consultation with the Parent-Teacher Association. Any amendments will be communicated to all parents and staff before they take effect. The most current version of this policy will be published on the school website and in the parent handbook.
