Academic Calendar Template

An academic calendar is the school's official schedule for the year — defining term start and end dates, examination periods, public holidays, parent events, and school activities. A published academic calendar allows parents to plan family activities around school dates, enables teachers to pace curriculum delivery, and provides a framework for the school's administrative cycle.

When to use: Publish before the start of each academic year — ideally 8–12 weeks before the first day of Term 1. Circulate to parents, staff, and post on notice boards and the school website.

Best Practices

Align your academic calendar with the Ministry of Education's published term dates. In Ghana, the GES publishes annual term dates — deviation from these causes conflicts with national examinations and inspection schedules.

Buffer examination periods generously. Schools that schedule exams immediately before term end have no time to handle absent students, special circumstances, or exam material printing delays.

Build in explicit "no-homework" or "revision" weeks before examination periods. Students and parents benefit from advance notice that curriculum delivery will shift to consolidation mode.

Send the calendar to parents in digital format (PDF via SMS/email) and physical format (printed sheet). In RedeemOS, the academic calendar is published in the Parent Portal so parents can access it any time from their phone.

Mark the fee payment deadlines on the calendar. Linking financial obligations to familiar school dates (e.g., "fees due by first week of term") dramatically improves on-time payment rates.
