Parent Engagement Digital Toolkit

Parent engagement is one of the most consistently cited factors in student academic success, yet many schools — particularly those transitioning to digital tools — struggle to get parents to actively use digital platforms. Cultural factors, low smartphone penetration in some communities, distrust of new technology, and plain unfamiliarity are all real barriers. This toolkit provides a step-by-step strategy for launching the RedeemOS parent portal to a school's parent community, driving adoption, and keeping parents actively engaged with their children's academic progress throughout the year. It recognises that parents in African school communities span a wide range of digital literacy levels and that adoption strategies must account for both smartphone users and feature phone users.

Before You Start

  • 1.RedeemOS account fully set up with all student profiles created and linked to parent contact details (phone number and email where available)
  • 2.Parent portal module enabled on your RedeemOS subscription
  • 3.All students have at least one parent or guardian contact number or email address recorded in their RedeemOS profile

Phase 1
Week 1

Parent Data Audit and Clean-Up

Before inviting parents to the portal, ensure all parent contact data in RedeemOS is correct and complete. An invitation sent to a wrong number or email creates a poor first impression and wastes the school's messaging budget.

Tasks

  • Run the Student Data Completeness report in RedeemOS (Reports → Student Reports → Data Completeness) to identify all students missing a parent phone number or email address
  • For students with missing contact details, send a paper data collection form home via the student asking for the parent's current phone number and email
  • Update all collected parent contact details in RedeemOS within three days of receiving the completed forms
  • Identify parents who have provided multiple contact numbers and ensure the primary contact number is the one most likely to receive SMS (e.g., not a work landline)
  • Identify parents who have no email address and note them as "SMS-only" parents who will use the USSD or SMS-based portal access rather than the web/app version
  • Verify that all parent names in RedeemOS match the preferred name format (e.g., "Mrs Adjoa Mensah" not "Parent of Emmanuel Mensah") to ensure personalised invitation messages

Phase 2
Week 2

Portal Launch Campaign

Launch the parent portal with a deliberate campaign that explains what it is, why it benefits parents, and exactly how to access it. Do not assume parents will figure it out from a single SMS link.

Tasks

  • Draft a parent-facing "Welcome to the Parent Portal" letter in the school's primary communication language (and a translation in local language if needed) explaining the portal's benefits: view your child's grades, attendance record, fee balance, and school announcements — any time, from your phone
  • Send portal login invitation SMS messages to all parents from RedeemOS Communication → Parent Portal Invitations: each parent receives their unique access link and temporary PIN
  • Distribute the printed Welcome Letter at the next PTA meeting or via students as a physical handout for parents who may not fully understand the SMS invitation
  • Create a two-minute video walkthrough of the parent portal on a phone and share it via the school's official WhatsApp broadcast list (broadcast, not group) and Facebook page
  • Set up a dedicated help desk hour: two mornings per week for the first month where a staff member is available at the school front office to help parents log in and navigate the portal on their own phone
  • Target 50% parent portal activation within the first three weeks of the campaign

Tasks

  • Enable automated attendance notifications in RedeemOS Communication settings: parents receive an SMS when their child is marked absent for the day by 9:00 AM
  • Enable fee payment reminders: set RedeemOS to send an automatic SMS reminder to parents with outstanding fee balances 7 days before the payment deadline
  • Enable examination result notifications: configure RedeemOS to notify parents via portal notification and SMS when their child's results are published
  • Train class teachers to post at least one class update or homework notice per week through the portal's class noticeboard feature
  • Share the first end-of-term report card exclusively via the parent portal — do not print and send home; parents must log in to access it, driving portal usage
  • Send a monthly "Your Child This Month" summary digest to each parent via the portal and SMS: attendance percentage, last assessment score, and fee account status

Tasks

  • Identify parents who have not activated their portal within three weeks of the invitation — export this list from RedeemOS Communication → Portal Adoption Report
  • Ask class teachers to follow up personally with non-activated families during the next parent-teacher meeting or via a phone call
  • Offer a 30-minute in-school group workshop (three per term) where parents bring their phones and a staff member helps them log in and navigate the portal step by step
  • For parents with no smartphone (feature phone only), establish an SMS-based update protocol: these parents receive the same attendance alerts and fee reminders via SMS, and report cards are printed for them specifically at the end of term
  • For parents with no phone at all, work with the class teacher to identify a community contact point (community leader, church official, or family member with a phone) who can relay messages
  • Track the non-smartphone parent count and review the situation each term — this number typically decreases naturally as smartphone penetration increases

  • Present the parent engagement metrics at each senior leadership meeting and PTA meeting — transparency builds trust and motivates improvement
  • Survey parents at the end of Term 1 with a 3-question satisfaction survey sent via SMS to gather feedback on the portal experience
  • Acknowledge and celebrate high-engagement parents: a simple "Thank you for staying connected with your child's learning" message via the portal goes a long way
  • Review notification settings each term: adjust the timing and frequency of automated messages based on parent feedback and engagement data
  • Set a school-wide target for parent portal active users: 70% by end of Term 1, 80% by end of Term 2, 90% by end of the academic year
